Building Logistics
Each person who enters our buildings is required to swipe in or tap in with their badge. Although it's tempting to hold the door as a courtesy gesture, please refrain from this practice to keep our building safe and secure. Each person must access the buildings with their own card and be given the "green light" to enter the building individually. If you have any questions regarding this policy, please email pickering.46@osu.edu.
Access to the building is driven by the onboarding/offboarding (roll on/roll off) feature in Self Service. New staff who need access to the building should contact their manager or our HR representatives.
You can submit a Building and Restricted Space Access Request through IT Self Service to grant building access for staff, student employees or consultants.
Open Office Guidelines
Respect the privacy of each person’s workspace.
- Announce yourself when arriving; Consider knocking
- Avoid peering over or peeking into another’s workspace
- Do not repeat conversations that you overhear
- Avoid responding or interjecting when you are not part of the conversation
- Do not congregate in front of others’ workspaces.
- Use conference rooms and/or close office doors when giving constructive feedback, for private conversations, personal calls and group gatherings.
Be thoughtful about noise, smells, cleanliness and working styles.
- Keep your voice low
- Keep your desk phone ringer at a low volume
- Use headphones when listening to music
- Keep your cell phone on vibrate/silent
- Do not use your speakerphone or computer speakers
- Do not yell across workspaces.
- Cover your mouth when coughing or sneezing.
- Keep shared spaces clean (i.e. conference rooms, break room tables, refrigerator, microwave, etc.).
- Understand that others may not want, or cannot physically tolerate, heavily scented items such as perfumes, lotions, colognes, air fresheners, etc.
- Respect differences in working styles.
If you work in an office...
- Close your door if you are in a meeting, listening to music or using your speakerphone.
- Be mindful of the issues you are discussing. If they, even briefly, include sensitive information or involve giving constructive feedback to an employee, close your door.
- Inform your staff if it is okay to knock on your door when it is closed. Some managers keep their doors closed to block out the noise from the rest of the floor and staff do not know when it’s okay to interrupt.
- Impromptu conversations that last over a few minutes should be moved to your office so that those in the surrounding areas are not disturbed.
- Be aware of your volume as you move from your office to the shared spaces.
Emergency Evacuations
In the event that we need to evacuate, it’s important that you understand and follow our fire evacuation procedures. We have outlined the basic steps below.
Determine your location and make your way to the nearest exit.
Once you have arrived at your evacuation assembly point stay put until otherwise notified. The evacuation assembly point is across the street from the main entrance on 8th Ave.
If you aren’t with your team please contact your manager to let them know that you’ve made it out of the building and to safety.
If you manage a team, please make sure that you can account for the whereabouts of all your team members. If you have attempted to contact missing team members and cannot account for them, please notify Aaron Pickering by calling 614-292-8813 or emailing pickering.46@osu.edu.
Once you have arrived at your evacuation assembly point, additional information will be distributed through Buckeye Alert on your mobile phone.
Once you’ve been notified that the building is safe to re-enter you can leave your evacuation assembly point and resume your normal workday.
